Project Coordinator

Job Summary:

The Project Coordinator is part of a team responsible for the excellent and efficient delivery of proprietary Relevate marketing solutions for our clients. Primary focus is on supporting the Client Delivery team with program management and execution in the following areas, and others: customer service, data & timeline management, vendor research & procurement, and correspondence with program attendees across all projects in which the team is responsible for delivering. Additional areas of responsibility will be assigned as needed.

Duties/Responsibilities:

  • Works closely with manager and account teams to execute all assigned aspects of a given program
  • Researches vendors for client marketing programs, which could consist of studios (and other venues), photographers, caterers, and production companies
  • Secures and coordinates program details with many of the above vendors
  • Ensures that Relevate systems (Salesforce tracking, vendor hiring process, etc.) are followed when hiring and requesting payment for vendors
  • Assists project managers in hiring photographers and scheduling physician interviews for PracticeShare/Wingman programs and utilizes Salesforce for data tracking/scheduling
  • Provides top-notch customer service, by both phone and email, to program participants and clients’ field force
  • Assists with the management of marketing program email inboxes/faxes
  • Generates Salesforce reports as requested (i.e. survey results, attendance reports, etc.)
  • Uses SmartSheet to update project timelines and task completion
  • Assists project managers with reconciling freelancer invoices and time reporting

  • Excellent communication (written and verbal) with internal customers as well as HCPs, sales reps and vendors
  • Able to manage a lot of detail and data in a fast-paced environment
  • Ability to work independently and as a team member
  • Ability to manage and prioritize multiple projects
  • Ability to multi-task and meet deadlines; possess good organizational skills
  • Self-motivated, positive and proactive attitude

  • Demonstrates strong hands-on experience with a variety of basic computer programs (MS Office, Outlook) and the ability to quickly pick up project management software (SmartSheet and Salesforce.com)
  • Availability for occasional travel

Education/Experience:

  • Bachelor’s degree
  • Demonstrated skills in the area of project or event coordination/management
  • Prior agency or healthcare experience is helpful
  • Familiarity working within small / fast-paced / growth-oriented business environment
